Perform bulk and individual actions on Views

Bulk management

Use bulk actions to change the owner or delete multiple views in a single action.

NOTE: Bulk actions only apply to views on the current page. You can select up to 100 views at a time.

Change owner

Changing owner in bulk is useful when offboarding users or reorganizing workspace responsibilities.

  1. Select the checkboxes next to the views you want to reassign.

  2. Click the change owner icon in the bulk action bar.

  3. Select the new owner from the pop-up list.

  4. Click Change.

The selected views are updated with a new owner.

Delete

  1. Select the checkboxes next to the views you want to delete.

  2. Click the delete icon on the bulk action bar.

  3. Click Delete to confirm.

WARNING: Deleting views is permanent. They can't be restored from the repository.

Manage individual views

Using the three-dot menu

Each row in the list contains a menu for quick navigation, changing the owner, or deleting specific views.

  1. Hover over a View row and click the Three-dot menu.

  2. Select an action:

    • Open: View the canvas in your current tab.

    • Open in new tab: Keep the Views List active while viewing the canvas.

    • Change owner: Assign a different owner to the View.

    • Delete view: Permanently delete the View. It can't be restored from the repository.

NOTE: While Admins can open any View in the list (including private ones), changing the owner and deleting are only available if you are the Owner or an Admin. Admins can only Edit a view if they are also the owner or a contributor.

Using Tags

NOTE: Only BlueDolphin admins, project owners, and contributors can assign or remove tags. Anyone with access to the view can read the tags.

Assign an existing tag

  1. On the view you would like to assign a tag to, click the tag drop-down menu

  2. Search for the tag in the search bar, or scroll to locate it.

  3. Check the box next to the desired tag. You can assign up to 5 tags to a view.

The tag is assigned and shown as a colored chip.

Create a new tag

  1. In the drop-down menu’s search bar, enter a new name of up to 30 characters.

  2. Click the Add tag button at the bottom of the drop-down menu. You may use letters, numbers, spaces, ampersands (&), apostrophes ('), and dashes (-).

NOTE: Tags are case-insensitive. If you type a tag that already exists with different capitalization, BlueDolphin suggests the existing tag instead to keep tagging consistent.

The tag is immediately assigned and displayed as a colored chip.

Remove tags from a view

  1. In the drop-down menu, uncheck the box next to the tag you want to remove.

The tag will be removed from the view. If no other view uses it, the tag is deleted from the database.

Toggle view privacy

The privacy status of a view determines whether it is visible to all users or restricted to specific contributors. You can change this status without leaving the list.

  1. Locate the Privacy icon in the View name row.

  2. Click the icon to switch the status:

    • Public icon: The view is visible to everyone in the workspace.

    • Private icon: The view is restricted to the Owner and invited Contributors.

NOTE: Privacy changes are applied instantly. The Privacy icon updates to show the new status.
