Configure questionnaires for BPMN elements

You can standardize the metadata captured for BPMN elements by linking questionnaires to BPMN Element Types. This means that each BPMN element, such as a User Task or Start Event, prompts modellers to provide data that can be reviewed and checked in the process editor.

Prerequisites

  • You must have the Administrator role. Process Administrators do not have access to the configuration panel.

Step 1: Create the questionnaire

To allocate questionnaires to BPMN elements, you need to have questionnaires configured. For more information on creating object and relationship questionnaires, refer to the Manage Object Questionnaires and the Manage Relationship Questionnaires articles.

Step 2: Allocate questionnaires to BPMN element types

  1. Click on the Main menu icon

  2. Click Processes

  3. Click the Configuration panel at the top of the Processes page

  4. Select a BPMN Element Type (e.g., User Task, Start Event, or Exclusive Gateway) from the list on the left side of the screen

  5. From the right side, under the Add Questionnaires list, click on the + icon or drag and drop to add questionnaires to the selected list

Changes are saved and automatically reflected on impacted elements, diagrams, and Modellers' side panels.

Step 3: Manage questionnaire order and removal

WARNING: Removing a questionnaire connection from a BPMN Element Type results in permanent data loss. While the questionnaire remains in the Admin section, all data previously entered for that specific element across your diagrams is not retained.

You can adjust how questionnaires are presented to Modellers, or remove them entirely.

  • Reorder selected questionnaires: Drag a questionnaire within the selected list to reorder them.

  • Remove questionnaires: Click on the - icon to detach a questionnaire from the selected list.

The order of tabs in the process editor side panel is updated immediately. If a questionnaire is removed, it will no longer appear for that element type on any diagram.
