Questionnaires for BPMN Elements

Questionnaires for BPMN Elements allow you to capture metadata for elements within your process diagrams. By linking customizable questionnaires to BPMN Element Types, such as User Tasks or Start Events, you can centralize documentation like risk levels, compliance checks, and technical specifications alongside your visual models.

NOTE: This feature is similar to the older process editor, allowing you to transfer metadata and questionnaire information when converting legacy diagrams to the current BPMN version.

Access to questionnaires is determined by your assigned role and the permissions configured for the specific process diagram.

WARNING: Sensitive fields within a questionnaire remain restricted to Modellers and Admins.

Once an administrator has configured the connections, you can interact with questionnaires while working on your process models. Refer to Completing questionnaires for BPMN elements for instruction.

  • Switch between views: Use the switcher in the side panel to toggle between the standard element properties and allocated questionnaires.

  • Enter metadata: Fill in various field types, including text, checkboxes, dates, and dropdowns. Mandatory fields are marked with a red asterisk to ensure all required data is captured.

  • Organize documentation: Administrators can drag and drop questionnaires in the Configuration panel to set the specific order in which they appear for modellers.

  • Report on data: Use the DiagramDetails and Bpmnea OData collections to export and analyze the metadata captured within your process elements.

Behaviors to note:

  • Scope exclusions: Questionnaires cannot be assigned to Participants (Pools) or Lanes.

  • Hidden fields: Relationship fields are not supported in this context and will be hidden from the side panel even if they exist in the questionnaire configuration.

  • Data retention: If an administrator removes a questionnaire connection from an element type in the Configuration panel, all associated data for that connection is permanently deleted.
